It can also accentuate the negative, such as an organization that is not well run or a program that doesn’t live up to expectations. Media attention won’t improve your organization; you need to do that prior to launching your media campaign.
• Plan. Your media relations campaign will only be successful if you develop a workable plan that is tied to your organizational goals and then work that plan consistently. First, decide what you want to accomplish through media exposure. Do you want to introduce a new program, make the public aware of an issue that is important to your organization or develop goodwill in the community? Once you have established your goals, develop a calendar. Plan to contact the media on a regular basis. The information communicated should reflect your goals but not be self-serving.
• Designate a spokesperson. As part of your plan, designate one individual as the media contact and spokesperson. If more than one person is in charge, your message may become diluted or your organization misrepresented.
• Understand the media. Before you email a press release or pitch a story idea to an editor, study the publication. Be aware of its readership and their interests, as well as recent stories. You will waste your time and annoy your media contacts if you pitch a story that has no relevance to the publication or already has been told.
• Think like a reporter. What’s exciting news to you may not be of interest to a reporter. • Understand a reporter’s needs. Reporters are always looking for good stories. It’s what sells newspapers. To get noticed, you need to provide accurate information and a compelling story. Check your facts. Most reporters work on tight deadlines. Find out when these are and provide information in a timely manner. Reporting is a 24/7 occupation. If you want to get media exposure, make your website reporter friendly, with a wealth of information about your organization as well as contact information for key people.
• Write like a reporter. Develop professional press releases. Answer the traditional questions in the first few sentences — who, what, when, where, why and how. Provide pertinent details in order of importance. Write a catchy headline that reflects the story and piques the interest of the reader. Always include contact information in case the reporter has follow-up questions.
• Be persistent.  Don’t give up if your press release isn’t picked up every time or a reporter doesn’t cover your event. If a major news story supplants your event, follow up with a phone call or email and supply a media packet providing information about your event.
